Relocation and Space Management

Facilities Management (FM) ensures that space requirements are met throughout Turitea and Hokowhitu sites on the Palmerston North Campus. They also look after a number of external clients leasing property from Massey University, including the Commercial Complex.

Planning Your Move

If your department or business has an additional space requirement or requires new facilities, please contact Rachel Smith on extn 83860 or via email R.J.Smith@massey.ac.nz to discuss your needs. Rachel will be able to look at options and in almost all cases offer better space utilisation with your department’s needs in mind.

Once a date for relocating an office has been approved/confirmed with both the department/section and Venue Management, the shifting procedure can commence.

Packing

  • Boxes are available from FM for shifts and packing purposes. Requests for boxes can be placed through FM's Help Desk extn 82288.
  • All packing of the boxes is the responsibility of the occupiers of the room or Department/Section. The weight of the boxes when packed should not exceed 25kg.
  • All boxes should be labelled - showing the new location and/or room number.
  • All boxes supplied for relocation MUST be returned to FM upon completion of unpacking after relocation. Boxes not returned to FM will be charged to the department.

Keys

  • All keys to buildings and offices being vacated should be placed in a sealed envelope showing the name/number of the building and appropriate room number and returned to Venue Management. The keys for the new offices can be collected by arrangement/request placed through the Help Desk extn 82288.

Mail

  • The occupant or department/section should advise the Mail Room of the new location for mail to be delivered. Advice is only required if the occupant has relocated to another building. Contact the Mail Room on extn 85900.

Telephones

  • FM can arrange for all telephone disconnections and transfers to a new location. Please enter all information on Schedule B of the Relocation Authorisation Schedule.

  • Users or departments can arrange for this service themselves by contacting Telecommunications on extn 82111 for both the Turitea and Hokowhitu sites.

Computers

  • FM can arrange for all computer disconnections and transfers for users. Please enter all information on Schedule C of the Relocation Authorisation Schedule.

  • Departments or sections can arrange for this service themselves by contacting Networking on extn 82111 for both the Turitea and Hokowhitu sites.

Furniture and Equipment

  • Unless special arrangements have been made, all furniture remains in the office/building being vacated. Approval for the furniture/equipment to be moved should be requested - with an inventory of the furniture/equipment being moved - from Venue Management extn 5360. The inventory should state where the furniture and equipment comes from and where it is going to.

Shelving

  • Shelving in present offices/departments is to remain unless special arrangements have been made through Venue Management's Equipment Office to move it to the new premises.

The Move

  • All persons/departments MUST be ready to shift at the specified time arranged. Any delay could result in a cost to that department.

Vacant Office Lock Down

  • The FM Help Desk should be informed of all vacant offices at least one week prior to their becoming vacant to ensure cleaning, signage and security requirements can be arranged.
  • Vacant offices within a department remain assigned to that department but will be reallocated to staff by FM in consultation with the Head of Department. When a department requires the space it can be arranged by notification to the Space and Property Manager on extn 83860. Offices should not be reallocated without the involvement of FM.

Safety

  • Staff who undertake to shift themselves should exercise caution in moving packed boxes or furniture items. It is recommended that the assistance of colleagues or professional movers should be negotiated when this occurs.
  • Any hazardous samples or substances should be packed according to relevant standards, labeled accordingly and dangerous goods declarations completed prior to the move.
  • Any special hazards not covered by the above should be documented and control developed jointly with FM.
