MOST - Frequently asked questions

The change from SECAT to MOST (Massey Online Survey Tool) for course evaluations raises many questions for staff. We have endeavoured to answer some of the common questions about MOST. If you have further questions. Please email the Course Evaluation Coordinator.

Why should I request a survey?

The use of the MOST Course Survey to evaluate courses is compulsory at least every third offering. It provides a mechanism to:

  • Enable students to provide feedback on papers and teaching
  • Support academic staff to regularly review their teaching and papers
  • Provide feedback to students showing how others perceived the paper
  • Provide information on students’ experience of papers that will assist in fostering continuous improvement
  • Provide data that can contribute to the University’s Key Performance Indicators for teaching and learning

Who can request a Course Survey?

Only Paper Coordinators can initiate Course surveys, for their own papers.

 

Why can’t my department secretary request a survey for me?

In an effort to maintain the confidentiality of the data within the system teaching staff request their own surveys and access their own reports.

 

What is the deadline to initiate surveys?

The initiation cut off dates and other dates can be viewed on My Course Surveys - Workflow. You can also visit the MOST important dates page to view and request reminders of important dates.

 

How do I initiate a Course Survey?

From the MOST Login page, enter your usual Massey username and password and select Login.

Under the My Papers tab you will see a list of the papers for which you are the Paper Coordinator. Select the offering you intend to survey and click on Initiate Course Survey. You will then need to confirm you department and click Save.

What is the difference between a Course Survey and a Flexible Survey?

MOST offers online student feedback tools: a standard questionnaire (Course Survey; compulsory every 3 offerings), to survey all undergrad papers at Massey for accountability and improvement purposes; and other, flexible Surveys which can be used by teachers for their own purposes (new course, preparation for award or promotion, …)

Course Surveys are conducted at the end of the semester, flexible surveys can be conducted ‘formatively’ earlier in the semester.

Course survey results are available to Head of Schools and are aggregated to provide Massey-wide statistical data. 

Flexible surveys are private and confidential to the teacher who initiates them. They should not include questions about other teachers.

If teachers wish to design a group survey (e.g. for team teaching questionnaire) then all participants need to agree specifically and share all the results (please contact Course Evaluation Coordinator to organise this).

 

How often should I conduct a Course Survey?

In an effort to maintain the quality of our papers, Course Surveys should be conducted at least every third offering with the time between evaluations not exceeding two years. However, there is also a need to be mindful of  survey fatigue. There is no requirement to survey every offering unless the results indicate a need, or changes have been made to the paper.

 

The Course Survey dates don’t suit can I change them?

The Course Survey is standard for all users and the dates are fixed. If you are looking for feedback from students for the purposes of teacher development and improvement the Flexible Surveys provides more options.  Please contact Course Evaluation Coordinator for more guidance on developing your Flexible Survey.

 

Can I modify the course survey questions? Can I remove questions or add some that are more relevant to my paper?

Not in the Course survey. This is a standard questionnaire applied to all papers at Massey for quality assurance and improvement purposes.

If you want to survey different aspects of the paper or of your teaching, please use a ‘flexible survey’. Please contact Course Evaluation Coordinator to get more information. 

 

The offering I want to survey does not appear in MY PAPERS?

This is because you are not the person named as paper coordinator in IPP for this paper offering. This can be remedied in MOST by going to Search All Papers. Enter the paper code (without a dot) in the 'code' box and press 'search' - select the appropriate offering and click on 'Become Coordinator'.  This can be done only once, so please ensure there is no ambiguity as to who holds the role for this particular offering.

 

Why can’t I request a Flexible Survey even though I am the Paper Coordinator?

For a flexible survey, you need to take the 'lecturer' option in this paper. Please go to Search All Papers. Enter the paper code (without a dot) in the 'code' box and press 'search'. Then select the proper offering (campus and mode of delivery) and click on Become Lecturer. This paper will now appear in My Papers with the option to initiate a flexible survey

 

Can students access the survey via STREAM?

No, students will receive an email with the link to the survey. At this stage access via STREAM would be problematic as sites often close before the end of the survey period.  You can, however, place the survey link in your Stream site with a reminder for students when the survey is live.

 

What happens if there are insufficient responses?

If there are less than 5 student responses to at least eight of the quantitative questions then the data from this survey is not added to the aggregated results of the university. Students, Paper Coordinators and listed Teachers are all informed by email that there were in sufficient responses. Feedback from the students who completed the survey may still be of interest so Paper Coordinator and listed Teachers can access this by logging into MOST.

 

Who can access survey results?

There are several ‘layers’ of access to Course survey results:

  • Paper coordinators and teachers for the paper (who have ‘registered’ via ‘become lecturer’ under ALL PAPERS) will have access to both the statistical data and the students’ comments.
  • Students will receive a feedback report showing the percentage of agreement for each question. They do not have access to other students’ comments.  The Paper Coordinator can also add his or her own comment for the students before the feedback is sent to them.
  • HOD's and relevant senior staff nominated by PVC's also have access to course reports.

 

Who will see the students’ comments?

For course surveys, the paper coordinator and the listed teachers of the paper will have access to the comments.  Their manager and relevant senior staff will also be able to access the course reports.

 

What will my Head of Department (HoD) see?

For all the course surveys HoDs are given a report with the percentage of agreement for each question for all of the papers in their department. They are also able to access the individual paper reports with the statistical data and student comments.

 

What should I do if there are comments I want removed from my final report?

Generally students make worthwhile, constructive comments, but occasionally there are instances where objectionable comments are made. If there are comments that are personal, racist or sexist these can be removed by contacting the Course Evaluation Coordinator:  

 

Can a list of papers that have initiated a Course Survey be generated?

Yes.  Please contact the Course Evaluation Coordinator if your department requires a list to be generated.
